Velatura’s website, messaging, appointment, and financial terms in one comprehensive document.

This policy or notice is provided by Velatura Aesthetics, PLLC, doing business as Velatura Medical Aesthetics & Wellness (“Velatura,” “we,” “us,” or “our”).

This consolidated document brings together the terms and patient-facing policies that govern use of the Velatura website, communications, appointments, payments, estimates, and care-related rights. The section that most directly addresses a question controls that subject. A signed clinical consent, treatment plan, or other transaction-specific document may provide additional terms.

Our Privacy Policy and, when applicable, our Notice of Privacy Practices remain separate because they address different categories of information and legal rights.

Part I

Website Terms of Use

Rules for accessing Velatura’s public website, educational content, booking links, and other digital services.

1. Acceptance of these terms

By using this website, you agree to these Website Terms of Use and the policies linked from this site. If you do not agree, please do not use the website. These terms cover the public website only; clinical consents, financial policies, and appointment terms are separate.

2. Educational information only

Content on this website is general education. It is not medical advice, diagnosis, or treatment, and it is not a substitute for an evaluation by a qualified health care professional. Never delay or skip professional care because of something you read here.

3. No provider-patient relationship

Visiting this website, messaging us, or requesting an appointment does not make you a patient. A provider-patient relationship begins only after Velatura accepts you for care and completes an evaluation and consent process.

4. Emergencies and urgent concerns

This website and our public email, text, and voicemail channels are not monitored for emergencies. If you have a medical emergency, call 911. For urgent post-treatment concerns, follow the clinical instructions Velatura gave you.

5. Services, eligibility, and results

Velatura serves adults 18 and older. Service descriptions and prices on this site are general and may change. Every treatment requires an individual evaluation; treatment and medication eligibility are not guaranteed, and results vary — photos and testimonials are not a guarantee of your outcome.

6. Appointments and communications

Book, change, or cancel appointments through Aesthetic Record, and keep your contact information current. Appointments are subject to the Appointment Cancellation Policy and the Financial & Refund Policy. Texts and calls are governed by our SMS/Text Messaging & Voice Communications Terms. Providing a phone number or booking an appointment does not by itself sign you up for marketing texts or calls.

7. Third-party services

Booking, payments, and the client portal run on third-party platforms such as Aesthetic Record. Their terms and policies govern your use of those platforms, and Velatura does not control their availability, security, or content.

8. Intellectual property

The website’s text, branding, images, and design belong to Velatura or its licensors. You may view and print pages for personal, noncommercial use; any other use requires our written permission.

9. Acceptable use

Do not use this website unlawfully, attempt to gain unauthorized access, introduce malware or interfere with its operation, impersonate anyone, or scrape its content without permission.

10. Disclaimers

The website and its content are provided “as is” and “as available,” without warranties of any kind, and content may contain errors, change, or become outdated. Nothing in these terms limits duties that cannot legally be waived, including professional standards of care.

11. Limitation of liability

To the fullest extent the law allows, Velatura and its owners, staff, and service providers are not liable for indirect, incidental, or consequential damages arising from use of this public website. This does not limit liability for professional services or apply where the law prohibits it.

12. Governing law

These terms are governed by Florida law. Any dispute about these website terms must be brought in a court in Hillsborough County, Florida, unless the law requires otherwise.

13. Severability and waiver

If any part of these terms is found unenforceable, the rest still applies. If we do not enforce a provision, or waive a fee on one occasion, that is not a waiver of these terms for the future.

14. Changes

We may update these terms by posting a revised version with a new effective date. Continued use of the website after an update means you accept the revised terms.

Appointment Cancellation Policy

Requirements for appointment changes, late cancellations, no-shows, deposits, preparation, and late arrivals.

1. Notice requirement

Cancel or reschedule within the notice window shown when you book and in your confirmation. No cancellation window or fee applies unless it was disclosed before you confirmed.

2. How to cancel or reschedule

Use the link in your Aesthetic Record confirmation or portal, or email info@velaturaaesthetics.com, call (813) 686-6536, or text (813) 686-7144. Social-media messages do not change an appointment.

3. Late cancellations and no-shows

A change inside the notice window is a late cancellation; missing an appointment without notice is a no-show. A late-cancellation fee, no-show fee, or deposit forfeiture applies only if the amount was disclosed before you booked and you accepted it. We never charge an undisclosed fee. If we waive a fee on one occasion, that does not waive this policy for future appointments.

4. Deposits

If a deposit is required, the amount and whether it is refundable are shown before you pay. Deposits are applied or refunded according to those terms.

5. Late arrivals and preparation

If you arrive too late for safe, complete care, or required consents, forms, or clinical information are incomplete, we may shorten or reschedule the visit. A rescheduled late arrival may be treated as a late cancellation where that consequence was disclosed for the appointment.

6. Changes by Velatura

If Velatura must reschedule or cancel your appointment, anything you paid for it will be applied to the new visit or refunded to your original payment method — your choice — except amounts already earned for services you received.

7. Repeated missed appointments

After repeated late cancellations or no-shows, we may require prepayment to book future appointments.

Part IV

Financial & Refund Policy

Payment responsibility, estimates, deposits, completed services, products, packages, financing, and refunds.

1. Patient payment responsibility

All Velatura services and products are self-pay. Velatura does not accept or bill health insurance. Payment is due at the time shown during booking or checkout, including applicable taxes and any separately disclosed third-party costs.

2. Prices and treatment plans

Website prices are starting points unless marked as a final quote — your treatment plan and product amounts set the total. Ask us for expected charges any time before care.

3. No insurance billing or guaranteed reimbursement

Velatura does not accept or bill health insurance, verify benefits, submit insurance claims, or obtain prior authorization. If you seek reimbursement from a health plan on your own, you still owe Velatura in full, and we do not guarantee any charge will be reimbursed.

4. Payment methods and authorization

Accepted payment methods are shown at booking or checkout. We may keep a payment method on file for deposits or balances only with your authorization.

5. Deposits and appointment fees

Any deposit or cancellation/no-show fee is disclosed before you book or pay, and handled per the Appointment Cancellation Policy. No undisclosed fee will ever be charged.

6. Completed services

Services already performed are nonrefundable. Individual results vary, and dissatisfaction with an outcome does not by itself create a refund right — contact us promptly with any concern so your provider can recommend follow-up.

7. Medications, compounded products, labs, and third-party services

Prescriptions, dispensed or compounded products, lab tests, and third-party services are nonrefundable once dispensed, collected, or performed, except when defective or when the law requires a refund. Third parties may bill you directly under their own terms.

8. Retail products

Unopened retail products may be returned only under the return terms given at purchase. Opened products are not returnable for hygiene reasons unless defective.

9. Packages, prepayments, and promotional value

Package and prepayment terms — what is included, any use period, and cancellation — are shown before purchase, and unused amounts are handled under those terms and applicable law. Free or promotional value has no cash value. Services already used are deducted from any approved refund.

10. Financing

If third-party financing is offered, the lender sets its terms and approval, and Velatura is not responsible for the lender’s interest, fees, reporting, or account decisions. A financing obligation may remain due even when a refund is limited or approved under this policy.

11. Refund process

To request a refund, contact us with the date, charge, and reason. Approved refunds go back to the original payment method; timing depends on your payment provider.

12. Declined payments and charge disputes

If a payment is declined, we may pause nonurgent services until the balance is paid. If you believe a charge is wrong, contact us first so we can fix it. Nothing here limits your rights with your card issuer or a consumer-protection agency.

13. Changes

We may update this policy going forward; changes do not alter terms you already accepted for a completed transaction.
